What is Golova.ai?

Golova is a modern cloud—based system for equipment rental management and rental automation. It helps to keep records of the warehouse, monitor the movement of equipment, form projects and commercial proposals, work with clients and contractors, and analyze finances. Golova was created specifically for companies in the technical production and event industry, so it takes into account their actual tasks and processes.

Who is the system for?

Golova.ai is ideal for rental companies, event agencies, production houses, concert and sports organizations, as well as photo and video studios. It’s used both by companies with their own inventory and by those working mainly with sub-rentals and contractors.

Do I need to install the software?

No. Installation is not required. Golova.ai runs entirely in the cloud via a web browser. All you need is internet access, and you can use the system from any device — computer, tablet, or smartphone.

Is there a mobile app?

Yes. Golova.ai has iOS and Android apps. Staff can work directly in the warehouse: scan equipment with a phone camera or barcode scanner, mark check-outs and returns, and use the dashboard to manage tasks, projects, and schedules.

Can I test the system for free?

Yes.

Every new user gets a two-week free trial with full access to all features. In addition, Golova.ai offers a free plan for one user, which can be used indefinitely — perfect for freelancers or for testing the system at your own pace.

What pricing plans are available?

All pricing plans include the full functionality of Golova.ai. The only limits are the number of users and projects per month.

Can I change my plan later?

Yes.

You can upgrade or downgrade your plan at any time. The admin simply contacts support through the ticket system or by email at hello@golova.ai . Unused funds are automatically credited when switching to the new plan.

Are there limits on equipment or users?

There are no limits on the number of equipment items you can track — from small warehouses to massive inventories. Limits apply only to the number of projects per month and users in the system, depending on the chosen plan.

Can I track equipment by serial numbers?

Yes.

Each item can be assigned a unique serial number, printed as a label, or linked to an RFID tag. The system stores the full usage history — from check-outs and returns to repairs and staff comments.

Is there a return reminder system?

Yes.

Golova.ai tracks rental periods: all projects are shown in the calendar, and the system highlights items that haven’t been returned. This reduces the risk of loss and simplifies client management.

Can I manage furniture, props, and decor?

Yes.

Golova.ai is suitable not only for technical equipment but also for furniture, props, and decor. The system helps calculate project weight and volume, generate pick-up/return lists, and track the condition of items.

Is Golova.ai suitable for sports clubs and teams?

Yes.

Golova.ai can be used to manage sports equipment. For away games or training, you can create a project with gear lists, transport, and tasks — ensuring nothing is forgotten and returns are controlled.

Can I manage vehicles and transport?

Yes.

You can add vehicles, vans, and special equipment to the catalog, set daily rental rates, and manage pricing with coefficients and discounts.

Does the system include logistics?

Yes, in a simplified form. Golova.ai allows you to track transport hours, delivery costs, and equipment transfers between warehouses or venues. An extended logistics module is planned for future releases.

How does Golova.ai help prevent equipment loss?

All equipment is tagged with barcodes or RFID labels. Each item is scanned during check-out and return, so you always know what hasn’t come back and can immediately address shortages.

Is Golova.ai suitable for large festivals and concerts?

Yes.

Golova.ai is widely used in managing major festivals, concerts, and large-scale events. The system can handle thousands of equipment items, logistics, task distribution across teams, and detailed reporting.

Can I integrate the system with my company website?

Yes.

Using the API, you can integrate Golova.ai with your site. A ready-made module is also in development that will let you display your equipment catalog online. Clients will be able to create orders themselves, and once confirmed, the system will automatically generate a project in Golova.ai.

Is online payment supported?

Not yet.

But a built-in payment module is planned, using tokens and smart contracts. This will make settlements with clients and partners easier directly inside Golova.ai.

How does Golova.ai track staff work?

There is a dedicated Staff section that shows team members’ workload and project involvement. Each employee has their own dashboard with tasks and schedule, while managers see the full overview of the team’s capacity.

Is there a task and checklist system?

Yes.

Golova.ai allows you to create project-specific tasks (e.g., equipment prep, setup, transport) and general tasks via the calendar. All tasks appear in each staff member’s dashboard.

Can I attach photos and manuals to equipment?

Yes.

Each item can have photos, technical passports, manuals, training materials, and links to manufacturer websites, reviews, or tutorials.

How does Golova.ai handle project finances?

You can record planned expenses and track actual payments. Based on this, the system generates reports on income, expenses, and profit. Golova.ai helps control finances both at the project level and across the entire company.

Does Golova.ai integrate with bank statements?

Yes, integration is possible, but it depends on your bank and is set up individually for an additional fee.

Can I issue invoices directly from the system?

Yes.

Golova.ai allows you to generate invoices, contracts, and quotes right inside the interface — saving time and simplifying paperwork.

Is Golova.ai suitable for long-term rentals?

Yes.

The system works for both short-term and long-term rentals (weeks or months). You can track equipment and payments in flexible formats.
